Stickerbeat is a high-growth producer of custom stickers, decals, labels, and magnets serving thousands of orders each month. With rapid demand, short turnaround windows, and diverse product specifications, the company needed operational workflows to adapt to it’s fast-paced growth

Coreflow partnered with Stickerbeat to modernize workflows and build a scalable automation layer around their existing tools and teams. Our mandate was clear: preserve the company’s speed and quality while eliminating avoidable errors, manual rework, and production bottlenecks.

The Challenge

Despite strong revenue and loyal customers, the day-to-day process was highly manual. Order information lived across spreadsheets and tickets; prepress teams spent valuable hours on data entry, tiling, and file cleanup; and small mistakes—double cutlines, missing lamination, miskeyed quantities—could cascade into reprints and missed deadlines. With a three-day average turnaround, there was little room for error or reprints.

Stickerbeat needed a durable operating system that synchronized customer updates, standardized prepress steps, and surfaced the right work to the right people at the right time. The objective wasn’t more software—it was a unified, reliable workflow that reduced risk and accelerated throughput.

Creating the Automation for Growth

Our goal was to design and deploy a cohesive automation stack that integrates with Stickerbeat’s current environment while removing unnecessary manual effort. Every new capability had to be measurable: fewer errors, faster cycle times, and clearer accountability.

We proposed a suite of targeted products—AI-assisted customer replies, a centralized operations database, and Adobe Creative Cloud extensions—delivered in milestones to minimize disruption. Each component reinforced the others, creating a united system that turned fragmented tasks into an end-to-end flow. Here are the products we worked on:

Automatic Tiling & Print Preflighting

Tiling was previously performed manually, job by job by the prepress team increasing the chance of small sizing errors, double cutlines and other mistakes that can slip through the pipeline. We introduced automatic tiling that interprets product rules and materials, applies correct dimensions, and prepares layouts in seconds throughs the machines and saves it automatically to the company Dropbox. This safeguards accuracy while returning hours per shift to production.

We also implemented automated preflighting in Acrobat/PDF workflows. Files are checked for resolution, overprint, open paths, missing fonts and assets, and double cutlines before they reach print. By elevating quality control to a systematic, automated step, Stickerbeat dramatically reduced reprints and improved on-time delivery.

Zendesk Automations & AI-Powered Customer Replies

Stickerbeat’s customers expect quick, consistent communication, production needs timely, structured inputs. Our AI-powered reply engine interprets messages—approvals, declines, and clarifications—and routes them into the correct workflow automatically. Approvals set production dates, declines trigger hold paths, and complex cases escalate to the right team member with full context.

Beyond customer interactions, we expanded automation inside Zendesk to handle the operational backbone. Each order is now automatically parsed for critical details—including requested production dates—and then distributed evenly across the prepress team to balance workload and avoid bottlenecks. Categorization, assignment, and status transitions are all handled programmatically, transforming what was once a manual, error-prone process into a reliable system of record. Tickets move cleanly from customer interaction to production action, creating a single source of truth for both service and operations. The outcome is faster response times, balanced team efficiency, fewer handoffs, and clearer accountability across every stage of production.

Creative Cloud Plugins & Extensions

We built Illustrator-based extensions that embed quality and speed directly into the prepress toolset. Operators can now apply standardized templates, handle tedious sequential tile orders, generate precise cutlines, and run repeatable cleanup actions with a single click of a button in our custom made Stickerbeat Extension, all within the software they already use and updated automatically on all work machines.

These plugins replaced time-consuming, error-prone steps with governed automation. The result is consistent output across operators, lower rework, and predictable file readiness that downstream teams can trust. Training is minimal because the tools live where the work happens.

Custom Database Workflow

Prior to Coreflow’s involvement, Stickerbeat’s teams were forced to manage orders through as google spreadsheet, which created inconsistencies, bottlenecks, and unnecessary delays. Searching for information or tracking order progress was slow, unreliable, and often dependent on manual entries that varied from person to person. For a company handling thousands of individual jobs each month, this lack of cohesion made it difficult to maintain accuracy, and keep track of the progress of orders through the production pipeline.

To solve this, we developed a secure, centralized operations platform—a Next.js web application powered by Supabase, fully integrated with Zendesk via real-time webhooks. This wasn’t just another tool; it became the foundation for Stickerbeat’s workflow. Every order now flows seamlessly into a single database where data is continuously updated, searchable, with other custom features like a hover-over feature to see cut time and tile sizes amongst other features specifically curated for the Stickerbeat Workflow.

The platform provides tailored operational views—To Print, To Cut, To Pack, To Ship—so each team only sees what matters most to their stage of the process. Timelines, audit trails, and permanent archives ensure complete visibility, while automated synchronization keeps shipping updates, date changes, and production notes current across all teams. What once required tedious manual entry now happens instantly, reducing errors and guaranteeing that everyone, from prepress to shipping, works from the same source of truth.
